Exhibiting any of these traits is not in the best interest of the meeting. Each attendee should be there for a reason and each needs to participate. This is especially critical in problem solving meetings.
Facilitators should not micromanage meetings. If the agenda is prepared properly and the attendees are given time to prepare, there should not be any reason to micromanage the meeting or the group. Have you ever noticed how attendees seem to tune out things when they are being controlled too much? They feel manipulated or useless, and no one responds well in these situations.
Some unruly groups may need a “heavy handed” approach. However, it is not the best way to handle the meeting when you need attendees to participate and share their thoughts. Below are some tips for steering your meetings.
Teach all group members how to facilitate.
Learn how to speak and manage a meeting in a positive way and teach this to each person in the group.
One person needs to be assigned to facilitate each meeting. You can assign different people, but be sure to have one person in charge.
The meeting leader and the facilitator need to be two different people and two distinct roles. This can also work as a way to check each other and to keep the meeting on track and running effectively.
